Privacy Policy

This policy explains how the central public website handles information and how it differs from authorised tenant services.

1. Scope

This policy applies to the Will Vault central public website and its contact-enquiry workflow. Tenant portals may process additional information under their own notices and service arrangements.

2. Information collected

The contact form collects the name, email address, optional telephone number, enquiry category, message and consent record needed to respond. Do not send national identification numbers, passwords, will documents or other sensitive information through the form.

3. Purpose and lawful handling

Information is used to route and respond to an enquiry, protect the service against abuse, maintain operational records and meet applicable legal obligations. The form uses CSRF protection, validation, a honeypot and rate limiting.

4. Storage and retention

Enquiries are stored in the central application database, not a tenant database. Delivery status and limited operational error information may be retained for troubleshooting. The configured retention period must be reviewed against the approved privacy and records policy.

5. Sharing and service providers

Enquiry details are sent only to the verified recipient configured by the operator and the approved mail infrastructure. The website does not add advertising trackers, analytics scripts or unapproved third-party forms.

6. Rights and requests

For access, correction, restriction, deletion, objection or other privacy requests, use the contact page and select Privacy or data protection. Identity and authority may need to be verified before a request is handled.

7. Security

Will Vault applies technical and organisational safeguards, but no online system or communication channel is completely risk-free. Contact messages should contain only the minimum information required for a response.

Formal data-protection contact details, regulator status and final retention schedule require operator and legal confirmation before publication as a final policy.
